Restaurant Tip Pooling Software Audit Checklist

Tip pooling software can calculate a distribution, but the output is only as reliable as the rules, roles and records entered into it. For a restaurant group, the practical review is whether you can trace a tip from collection through allocation to payroll without losing the explanation.

This is an operational record-review checklist, not a determination that a tip arrangement is lawful.

Confirm the policy before testing the software

Federal tip-pool rules depend in part on whether the employer takes a tip credit. The Department of Labor distinguishes traditional pools from arrangements that can include employees who do not customarily receive tips when the required conditions are met. Managers and supervisors may not receive other employees' tips through a pool. State rules can be more protective. Have the policy reviewed for each jurisdiction and actual job duties. Do not rely on a software role name alone to decide legal eligibility. Do not market a configured formula as a compliance guarantee.

Trace one completed distribution

Choose a completed period and retain the relevant source reports. Reconcile:

Document the explanation for any difference. A calculation that balances in total can still allocate the wrong amount to an individual.

Test the awkward cases before rollout

Use non-production examples to test a role change during a shift, a corrected timecard, a refund after close, a missed distribution and a rerun of the payroll export. Verify that a rerun cannot silently duplicate amounts and that corrections preserve an audit trail.

Ask the vendor to demonstrate these cases with your approved policy. A feature checklist is weaker evidence than a traceable result.

Keep labor reporting definitions consistent

Do not automatically add all distributed tips to an employer labor-expense measure. Have payroll and accounting establish which wage, tax, benefit and tip-related entries belong in that measure. Otherwise a reporting change can look like a cost increase even when the underlying operation did not change.

Eligibility, tip credits and payment corrections remain with the appropriate payroll and legal professionals. A record review is not a compliance determination.

Traceability and exception worksheet

Use synthetic records in a test environment, with payroll-approved rules. This tests the software trail, not the legality of the policy.

Test Evidence to retain Expected result to check
Employee changes roles during service Role history, eligible inputs and approved rule version Allocation uses the reviewed inputs; change remains traceable
Timecard corrected Original and corrected input; allocation versions Difference explained and routed for payroll approval
Refund after close Original tip, refund reference and approved correction treatment Adjustment follows the approved process without erasing history
Payroll export rerun Batch identifier and receiving-system record Duplicate detected or prevented before payment
Distribution missing Allocation, export and payment confirmation Unpaid or unmatched status stays open with an owner

For one distribution, record source amount → pool contribution → participant allocation → payroll batch → payment evidence. Reconcile both the total and each participant. A balanced total alone cannot validate individual allocations.

For the broader cost decision, review labor, coverage and profit together. The source-backed restaurant review examples show why time records and reporting completeness matter before assigning a fix.
